Decor is one of the largest and most visible parts of a wedding budget, and also one of the easiest to misunderstand. Two quotes can look similar and include very different things. These are the questions we suggest you ask any wedding decorator in Mathura or Vrindavan before you pay an advance, grouped by topic, with a short checklist at the end to take into meetings.
Portfolio and experience
Can we see photos and videos of real weddings you have done?
Ask for full sets from real events, not only styled shoots or images from the internet. Look at the whole venue, not just close-ups of the stage. Wide shots show how well the decor holds together.
Have you worked at our venue?
A decorator who has set up at your venue before knows its power points, ceiling height, entry routes and rules. If not, ask them to visit before quoting.
Have you done this style before?
If you want a Braj-inspired look, such as a phool bangla style stage or a Yamuna ghat diya evening, ask to see something similar they have built.
What exactly is included
Can you give us an itemised quote per function?
The quote should list each function separately: haldi, mehendi, sangeet, wedding, reception. For each, it should name the stage, mandap, entrance, seating, table decor, lighting, flowers and any props.
Which items are fresh flowers and which are artificial?
This changes both the look and the cost. Ask for the flower types and roughly how much of the setup is fresh.
Are lighting, sound, tents and furniture included?
Some decorators bundle these, others charge separately or expect the venue to provide them. Clarify generators and power backup too.
Can pieces be reused across functions?
A backdrop, jhoola or set of drapes can often serve two functions with a change of flowers. A good decorator will suggest this. We cover more savings like this in our guide to budget weddings in Mathura-Vrindavan.
Setup timing and staff
When will setup start, and how long does each function take?
Ask for setup and teardown timings per function, especially if the same lawn or hall is used twice in a day. Check that these fit the venue’s access times.
Who will be on site on the day?
Get the name and number of the supervisor for each function. Ask how many people will be on the team and whether they stay through the event for touch-ups.
Flowers and freshness
When will the flowers be bought and put up?
Fresh flowers should be sourced close to the event and installed as late as practical. In April to June, when temperatures are often above 40°C, ask how they will keep flowers from wilting at outdoor daytime functions.
What happens if a flower is not available?
Agree on acceptable substitutes in advance. Around festival weeks, demand from temples and pilgrims can affect supply, so a backup list helps.
Venue rules and damage
Do you know the venue’s rules on nails, tape, fire and open flames?
Many venues restrict fixings on walls, diyas near fabric, or confetti and petals on certain floors. The decorator should check these in writing.
Who pays if something is damaged?
Ask whether they carry responsibility for damage to venue property caused by their team, and how breakages of their own props are charged.
Who handles cleanup?
Petal showers and flower Holi at a haldi are popular in Vrindavan. Agree on who clears up and by when, so you are not charged by the venue afterwards.
Payments and changes
What is the payment schedule?
Ask how much is due as advance, when the balance is due, and what happens to the advance if the date changes. Get it in writing.
What can we change after booking, and until when?
Colours, flowers and guest numbers often change. Agree on a cut-off date for changes and how extras will be priced.
Will there be a final walkthrough?
A walkthrough with the decorator before guests arrive lets you fix small issues while there is still time.

Frequently asked questions
How early should we book a wedding decorator in Vrindavan?
For November to February dates, book as early as you can, since that is the main wedding season and good teams fill up. Avoid leaving it until the last few weeks for any date near Holi or Janmashtami.
Should the decorator visit the venue before quoting?
Yes, if they have not worked there before. A site visit shows the space, power supply and venue rules, which all affect the quote.
Can our decorator use real flowers at an outdoor summer function?
Yes, but it needs planning. Ask about late installation, shade, misting and hardier flower choices for April to June, when temperatures in Braj are often above 40°C.
What should a wedding decor contract include?
An itemised list per function, flower types, setup timings, on-site staff, damage and cleanup terms, payment schedule and change or cancellation terms.
